City of Greeley Microsoft Authenticator MFA Setup Guide

 

1 Objective:

To guide users through the process of installing and logging into the Microsoft Authenticator MFA app for the first time.

2 Steps:

Step 1: Search the application store on your phone for Microsoft Authenticator and install the application. NOTE that if you have a phone provided by the city the app should already be installed.

Step 2: On a laptop or desktop computer, navigate to www.office.com.

Step 3: Once the page loads you should see a blue “Sign in” button in the middle of the screen.

NOTE that Microsoft changes this page frequently but the big Sign in button should stay in the central part of the screen. IF you’re using a personal computer and are logged in to an existing personal Microsoft account, you can either sign out or open up a new private/incognito window of your browser for the purpose of setting this account up.

Step 4: On the next page you’ll be prompted to sign in with your email address. Typically this will be your Firstname.Lastname@greeleygov.com (for example, Paul.Bunyon@greeleygov.com). If you’re unsure please ask your manager who should have that information. After entering your email you’ll be prompted to enter your password- this will be the same 18+ character password you set up and use to log in to computers.

 

Step 5: Set up Authenticator

Once you sign in to your Microsoft account you should be prompted with a screen that says “More information required”

At this page select Next and you’ll be taken to the Microsoft Authenticator registration page where you’ll select Next.

You’ll see a screen with instructions for setting up a new account on your phone, select Next again and you should see a screen with a QR code to scan.

Step 6:

Open the Authenticator app on your phone and you’ll be prompted to add an account, select this option and then select “Work or School account”. Once you do you should see a pop up with a few options, the second option being “Scan QR code”. Select this and your phone’s camera will open up, point the camera at the QR code on your computer screen and the account will automatically link.

Now, back on the computer, select the Next button in the bottom right corner- you’ll be prompted to test the Authenticator app and instructions on how to do so will be given. Once that is completed select Next again.

Step 7:

Next, you’ll need to set a backup authentication method. Enter your cell phone number and select an option to either receive a code or a call and select Next.

At this point you should receive a text message or automated call with a code to confirm your identity, enter that code on your computer and the verification will be complete. Select Next and you should see the success screen where you can choose Done to complete the set up and move into your Microsoft Account.
