City of Greeley OKTA MFA Setup Guide

 

1 Objective:

To guide users through the process of installing and logging into the Okta MFA app for the first time.

2 Steps:

Step 0 (OPTIONAL): Find and install the Okta Verify application on your phone. NOTE if you have a phone provided by the City this application will already be installed.

Step 1: On a laptop or desktop computer, navigate to https://greeleygov.okta.com NOTE: there should be a link to this page titled OKTA on the desktop of any City owned computer.

Step 2: Once the page loads you should see the City’s Single Sign On (SSO) portal that looks like the below screenshot. Enter the same username and password you use to log in to a computer.

3 Set up SMS Authentication:

Once logged into Okta for the first time you’ll see options for different multifactor authentication, if you chose to install the Okta Verify application on your phone you can select that option to have a notification from the app on your phone prompt you to confirm your identity when logging in. Otherwise our suggestion is to just set up SMS Authentication which will simply text you a code to confirm your identity when logging in. If you’re going with SMS Authentication, skip on to Step 3b.

3a. If you want to use the Okta Verify app, select the first option- you’ll be prompted to select your device type and when you do it will provide a link directly to the app store to download the application in question. Once you have the app downloaded, select Next- you should see a screen with a QR code on it.

Now, on your phone open the Okta Verify app you downloaded and you’ll be presented with a blue bar at the bottom of the screen that says “Add Account”.

From the Add Account screen you’re prompted to choose an account type, for this situation you’ll want to choose “Organization”.

After choosing Organization, you may be prompted to add an account from another device, if so, please select “Skip”.

Finally, you’ll see a screen asking for a QR code. Select “Yes, ready to scan” and the app will open up the camera- simply point it at the QR code you see on your computer screen and the app will link to your account.

3b. Next, we’ll set up the SMS authentication. Select this option from the Okta screen and you’ll be prompted to enter your cell phone number. NOTE: if you have a phone provided by the city and are going to use BOTH the Okta Verify App and the SMS Authentication methods, we often recommend you set up the application on your work phone and the SMS verification with your personal number. This comes in handy if you leave one phone behind somewhere, one phone is dead, etc.

Once you enter your phone number and select “Send code”, Okta will text you a code which you can enter in the field provided on your computer.

4 Finished:

Once you have set up one or more authentication methods, you are good to go and should see the “My Apps” home screen of Okta. From here you can access Oracle and other applications depending on the needs of your specific job.
